Opening Times

The doors are open from 07:30 to 17:30 Monday to Friday.

Reception is manned 08:00-16:00 Monday to Friday.

Various staff are usually in the main office at most times during the day.

If meetings are booked for outside of these hours, a Security Access Task needs to be arranged.


Room Bookings

There are three main ways to secure a room booking:

Option 1 Self-Booking

Simply visit this link and use your usual Trust username and password to log into the system to search for and book rooms.

(TIP – Save this link to your Desktop for easier / quicker access in the future)

Option 2 - Call the Education Centre Reception on Ext 6477 or send an email to Room.BookingRequests@porthosp.nhs.uk

Option 3 - Visit the Education Centre Reception on E level in person


Room Bookings for the following year

An early booking window is usually opened up around June each year, for 4-6 weeks, to allow for advance requests for the following year.

You will need to complete an Advance Room Booking Request Form (template attached) for every meeting title you wish to book.

These forms should be returned to Kate Cameron (kate.cameron@porthosp.nhs.uk)

All these advanced booking requests will then be entered onto the system during August.

A full list of all bookings will then be sent to individual requesters so their bookings can be checked.

Only once all these advanced bookings have been entered will the Booking System be opened up for general use again.

All of the rooms within the Education Centre have:

  • Fully networked computers and projectors
  • Flip chart stand and paper (fresh supplies are available upon request from reception)
  • For Marker Pens, Sound, Presentation Pointers etc, you will need to ask Reception to book out a Media Box.  All items must be returned to this box at the end of your meeting and checked back in at reception.  Full details on setting up for sound etc. is included in the box

Please Note: A media box will not be required for bookings in the Lecture Theatre or any of our dispersed education rooms.


Dispersed Rooms

We manage a number of dispersed education rooms around the hospital.  All of these (with the exception of the Rehabilitation Seminar Room) have computers and projectors.

Media boxes will not be required for these rooms, so if you have any problems with getting sound, please contact the Education Centre Reception (Extension  6477), or Kate Cameron (Extension 6671) for assistance.

WiFi Access

If you know you are going to need WiFi access for your meeting, you must arrange for this in advance, using one of the following methods:

Option 1

Raise a call through MyCall (qahitbmweblb - WebAccess/OpenHomeDashboard)

Option 2

Ask for Kate Cameron (Extension 6671) to arrange this for you.

In either case, you will be sent a “3rd Party Internet Usage Terms and Conditions” document which you will need to complete and return in order for this to be set up.

You will then be sent access details by e-mail.

Please try to give as much notice as possible to allow ICT to process the request.


Out of Hours Security Access

Send an e-mail to the Carillion Helpdesk – 6321@carillionplc.com

Ask for a Security Task Reference and give details of the meeting date / time / title / duration and name of the meeting lead.

If there is a problem getting access when you arrive for your meeting, please call Security direct on Extension 6100 and give them the reference number you have been given.
